> Automate the creation of orders when adding new row in Google Sheets using Zapier
Using Zapier, you can automate the creation of new orders in AntsRoute when adding new rows in a Google Sheets file. Just follow the steps below:
Have not connected your AntsRoute account to Zapier yet? Read the article here.
Go to your Zapier account and click on the “Make a Zap” button.
Step 1: Setup the “trigger”
Note: Remember that your Google Sheets file must contain at least a “Last name” column (or equivalent), an “Address” column (or equivalent), a “Duration” column (or equivalent) and a “Scheduled-date” column (or equivalent). This last column should be replaced by “Due date” (or equivalent) for those using the orders bucket.
Here is an example of Google Sheets file with the required columns (add also the following columns: “Capacity_Number” ; “Capacity_Weight” and “Capacity_Volume“):
Step 2: Setup the “action”
Note: Are you using the bucket of orders in AntsRoute for your appointments which do not have a scheduled date? We invite you to select the “Create an Order in Basket” event.
Note : Have not connected your AntsRoute account to Zapier yet? Go to your AntsRoute account in order to retrieve the API key that you will be asked for on Zapier. To do this, just go to AntsRoute > click on the “API Key” tab > click on “Add” > Select the site > Click on “Create” > Click on “Copy” > Click on “Continue”. You can now go back to Zapier and click on “Sign in to AntsRoute” and enter the API key you just retrieved and click on “Yes, Continue“.
Note: The other DELIVERY and COLLECT types are for users who have activated pickup & delivery functionalities on AntsRoute.
Note: If you have selected “Create an Order in Basket“, you must select “Due-date” (or equivalent) instead of “Date-visit”.
Note: When adding AntsRoute orders from Google Sheets, it is not possible to fill in the extra fields about the customers.
Note IMPORTANT ! Don’t forget to add beforehand the three following capacities from your AntsRoute account (AntsRoute > Settings > Capacities > Add) :
- Number (name = Number ; unit = unit and validation mode = optional) ;
- Weight (name = Weight ; unit = kg and validation mode = optional) ;
- Volume (name = Volume ; unit = m3 and validation mode = optional).
Then you must add the these three columns in you Google Sheet file: “Capacity_Number” ; “Capacity_Weight” and “Capacity_Volume”. The cells of these three columns can’t remain blank. If you don’t want to display these capacities in AntsRoute, just enter the value “0” in the cells of these three columns. Finally, when creating your Zap, make sure these capacities are properly selected. (See screenshot below).
The creation of the Zap is now completed. From now, when you add a new line in your Google Sheets file, the order will also be added in AntsRoute.
