Go to your Zapier account and click on the “Make a Zap” button.
Step 1: Set up the Trigger
Note: Before getting started, we invite you to create a custom field “Duration” from your Quickbooks account which corresponds to the duration of the service on site or the time needed to put the goods in the customer’s hands. Furthermore, if you use time slots for your deliveries or services, also add the “Time Slot Start” and “Time Slot End” custom fields. In order to create these field(s), go to “Settings” > “Account & Settings” > “Sales” > “Sales form content” > “Custom Fields” > Add “Duration” (and “Time Slot Start” & “Time Slot End”) > “Save”. Once it’s done, create a new invoice by going to “Invoicing” > “All sales” > “New transaction” > “Invoice” and fill in the necessary fields including the new “Duration”, “Time Slot Start” and “Time Slot End” fields.

Search Quickbooks Online via the search bar.

In the “Trigger Event” drop-down list, select “New Invoice“.

Click on the “Continue” button.

Click the “Sign in to Quickbooks online” button to connect your Quickbooks account to Zapier.

From the “Choose an account” drop-down list, select the Quickbooks account you have just connected.

Click on the “Continue” button.

Click on the “Test trigger” button.
Note : New on Quickbooks? To try this trigger, you must add at least one new invoice in Quickbooks beforehand. (Invoicing > All Sales > New transaction > Invoice).

Click on the “Continue” button.
Step 2: Set up the Action

Search AntsRoute via the search bar.

In the “Action Event” drop-down list, select “Create an Order in Basket“.

Click on the “Continue” button.
Note: Have not connected your AntsRoute account to Zapier yet? Go to your AntsRoute account in order to retrieve the API key that you will be asked for on Zapier. To do this, just go to AntsRoute > click on the “API Key” tab > click on “Add” > Select the site > Click on “Create” > Click on “Copy” > Click on “Continue”. You can now go back to Zapier and click on “Sign in to AntsRoute” and enter the API key you just retrieved and click on “Yes, Continue“.

In the “Choose an account” drop-down list, select “AntsRoute”.

Click on the “Continue” button.

For “Type“, select “SERVICE”.
Note: The other DELIVERY and COLLECT types are for users who have activated pickup & delivery functionalities on AntsRoute.

For “Due Date“, select “Due Date” (corresponds to the due date for completing the service or delivery).

For “Duration“, select “Individual Custom Field Duration” (corresponds to the duration of service).

For “Time Slot Start“, select “Individual Custom Field Time Slot Start” (corresponds to the starting time of the service’s time slot).

For “Time Slot End“, select “Individual Custom Field Time Slot End” (corresponds to the ending time of the service’s time slot).

For “Last name“, select “Family name”.

For “Address“, select “Ship Addr Line1”.
Note : Make sure that the address is complete with a street number, street name, postcode and city. Select the appropriate value according to your Quickbooks input habits. For example, if the street name is on the second line, select “Ship Addr Line 2”. It is also possible to enter several values: “Ship Addr Line 2”; “Ship Addr Postal Code”; “Ship Addr City”. IMPORTANT ! Add one space between each value.

Fill in the other fields if necessary (phone, mobile phone, email, comments).
Note: The capacities fields (name + value) must not be modified.

Click on the “Continue” button.

Click on the “Test & Continue” button.

Finally, click on the “Turn on Zap” button.
The creation of the Zap is now completed. From now, when you add new invoices in Quickbooks, orders will be added in the AntsRoute order bucket.
